Forever Role Call Privacy Policy

This page tells you what data the Forever Role Call Discord bot keeps. It tells you why we keep the data. It tells you the choices you have. It is written in plain language. It describes exactly what the bot does.

The team behind Chat XP ("we", "us") runs Forever Role Call. The bot is a free companion to Chat XP.

The short version

• The bot keeps only the data it needs for a role call: who you are on Discord, the classes and specs you select, and your roster preference.
• The bot cannot read your messages. The bot does not send you direct messages.
• We do not sell your data. We do not show ads. We do not use tracking.
• When a server removes the bot, the bot deletes all data for that server.

What we collect

When you submit your picks

When you use the submit button in a server, we keep:

• Your Discord user ID and username
• Your display name in that server
• The ID of the server where you submitted
• Up to three class and spec choices, in the order you ranked them
• Your roster preference (Relaxed, Competitive, or Either)
• The time of your last submission

Each server has its own separate copy. When you submit in two servers, each server has its own entry. One server cannot see the entry of the other server.

When a server sets up the bot

For each server that uses the bot, we keep:

• The ID of the server
• The channel ID and message ID of the role call board
• The IDs of the roles that the admins of the server let manage the bot

What we do not collect

• Messages. The bot does not have permission to read message content. The bot does not ask for this permission.
• Direct messages. The bot does not send them. The bot does not read them.
• Contact details. We do not collect email addresses, phone numbers, or real names.
• Tracking data. We do not use cookies, analytics, or advertising identifiers.

Who can see your picks

Members of the server where you submitted can see your picks:

• All members who can see the board channel can see your display name and your first choice.
• All members who press "See who's flexible" on the board can see your second and third choices.
• The leadership of the server can see all three choices and your roster preference. The leadership means the admins and the roles they approve.

Your picks do not show in any other server.

How we use the data

We use the data only to run the bot. The bot shows the role call board. The bot counts roles and specs. The bot shows who is flexible. The bot lets the leadership of a server see the picks of its members. We do not use the data for advertising. We do not use the data for profiling. We do not use the data to train AI models.

The Chat XP link

Each board has a "Powered by ChatXP" button. The button opens chatxp.bot in your browser. The bot does not record when you press it. When you visit Chat XP, the Chat XP privacy policy applies there.

Who else handles the data

• Discord delivers all that you do with the bot. The Discord privacy policy tells you how Discord handles your data.
• Railway is our hosting provider. Railway runs the bot and its database. Railway stores the data for us. Railway does not use the data for its own purposes.

We do not share your data with anyone else, unless the law requires it.

How long we keep the data

• Your picks. We keep them until one of these events. You submit again, and the new picks replace the old picks. The leadership of your server resets the role call, and the bot deletes all picks in that server. The bot is removed from the server, and the bot deletes all data for that server.
• Server settings. We keep them until the bot is removed from the server.
• Operational logs. They record events such as errors, and when the bot joins or leaves a server. Our hosting provider keeps them for a short time only.
• Database backups. Our hosting provider makes them. A backup can hold deleted data for a short time, until a new backup replaces it.

Your choices and rights

• Change your picks. Press the submit button again at any time.
• Remove your picks. Ask the leadership of your server to reset the role call. Or contact us.
• Ask us for a copy of the data we hold about you. Ask us to correct it. Ask us to delete it. We need your Discord user ID to find your data. Ask us in the support Discord server.

You can have more rights, based on where you live. In the European Economic Area and the United Kingdom, you have the right to object to how we use your data. You also have the right to complain to your local data protection authority. Our legal basis to use your data is our legitimate interest in providing the service you chose to use.

Children

You must meet the minimum age of Discord to use Discord. The same rule applies to this bot. We do not knowingly collect data from children under 13, or under the minimum age in your country. When you think that a child submitted picks, contact us. We will delete the data.

Security

We keep the data in a private database. The database is not open to the public. Only the operator can get access to it. No system is fully secure, but we keep the data we store to a minimum.

Changes to this policy

We can change this policy. We show the new date at the top of this page. When a change has a large effect on how we use your data, we make the change clear where the bot is listed.
